For schools and fleets
Setting up your organisation roster
How to list a school's or a fleet's vehicles from a spreadsheet, what each status means, and how to read the counts.

Guides are in English for now. The rest of the site is translated.
The roster is one page that lists every vehicle your school or company runs, with its status and a few counts. It is a first version. This guide shows how to fill it from a spreadsheet and what the words on it mean.
- You make one organisation from your account. It is where the roster lives.
- You paste a list or upload a CSV file. A CSV file is a spreadsheet saved as plain text.
- Each plate becomes a claim in your name, with no documents yet.
- You send the registration certificate (RC) and a photo for each vehicle. A person at ATAP checks them.
- Once a vehicle is verified, the roster shows its stickers, shift links and the counts for the last 30 days.
- Planned, not built: summaries sent by email, driver names across an organisation and a view for parents.
Making the list
Open the organisation page and name your organisation. Then prepare the list. The first line must be a header with a column called plate. Two more columns are optional: type and label. The label is yours, for example Route 4 or Bus 12. The page has an empty template you can download.
- Types are car, two_wheeler, cab, bus, truck or other. Leave the column out if you do not know.
- A roster holds up to 10 vehicles. That is the same limit as an account, so a longer list stops there and tells you which lines it left out.
- A plate written with spaces is fine. A plate that cannot be a real Indian plate is listed back to you with its line number, and nothing is created for it.
- If a plate appears twice, only the first line counts.
What the statuses mean
- Needs documents: the claim exists but has no RC or photo yet. It cannot be approved. Use Add a vehicle and type the same plate to send them. The same claim is completed, so nothing is duplicated.
- Under review: the documents are in and a person at ATAP will check them.
- Verified: the vehicle is yours. The roster now shows active stickers, shift links, reports and praise.
- Rejected: the page shows the reason. Fix the problem and add the list again, and the same line opens a new claim.
- Not verified for this account: someone else holds the plate, or ownership moved away from your organisation. No counts are shown.
Reading the counts
Reports and praise cover the last 30 days. The scorecard adds the share of reports the owner has replied to, and how many are still waiting. Replies count for reports, not for praise.
Treat the numbers as a prompt to talk. A report is one person's view of a few seconds, and a small fleet can show a high or a low share from one or two messages. ATAP does not rank vehicles or publish a score, and the pages never show who sent a report, a photo or a place.
Weekly trend and the monthly summary
The scorecard page draws reports and praise for each of the last eight weeks, so one bad day does not look like a pattern. The monthly summary page lists each calendar month in India time, with a table for the whole organisation and a table for each vehicle. You can download the summary as a CSV file. Nothing is sent by email yet.
The roster also shows whether a driver is on shift now and how many shifts started in the last 7 days. It never shows a driver's name. Names stay with the owner of each vehicle, because that is what drivers were told when they tapped Start.
Adding colleagues
Up to 5 people, invitations included, can belong to one organisation. You invite by email address. Nothing is sent, so tell the person yourself. They accept when they sign in with that email. Everyone in an organisation sees the same roster and can add vehicles, invite people and remove them.
Alerts and replies still go to the account that owns each vehicle. Adding a colleague lets them see the roster. It does not move any alert. You can remove a plate from the roster at any time, rename the organisation, and download the roster as a CSV file. The person who created the organisation can delete it. Verified vehicles stay verified when it goes.
